Information you provide
The enquiry form collects your name, phone number, email, property address, job details and any photographs or reports you choose to upload. Only upload information relevant to the job and avoid including unrelated people or personal documents.
We use this information to assess your request, contact you, prepare a quotation and, where agreed, arrange work. The legal basis is taking steps at your request before entering a contract. We also use limited technical information to secure the service and prevent spam, on the basis of legitimate interests.
Storage and access
Enquiry records and uploaded files are held in protected website storage. Access is limited to authorised administration. Website hosting and storage providers process data to operate the service. Customer contact details may also be added to Xero so we can prepare quotations and manage customer records. Automated checks hold suspected spam for staff review before contact syncing. D&M does not sell enquiry data or use the form to subscribe you to marketing.
Before a referral, we will discuss whether information should be shared with another contractor. Information may also be retained or disclosed where necessary to comply with applicable obligations.
AI-assisted quote preparation
Authorised D&M staff may use OpenAI to help prepare a draft scope and price recommendation from your job details and relevant photographs or reports. This can include the property location and information within your attachments. Contact names, phone numbers and email fields are omitted from the structured enquiry sent for drafting where they are not needed; attachments may still contain such details. A person reviews the scope and price before a quotation is issued. AI does not accept work, book appointments or send quotes automatically.
To avoid repeatedly processing the same attachments, we may retain AI-prepared copies and extracted findings with your enquiry. Copies uploaded through OpenAI’s Files API are set to expire after 30 days. Re-reading a file can create a new copy with a new expiry. Original documents and saved findings remain in protected website storage under our enquiry retention arrangements.
Retention and your rights
Information should be kept only as long as needed for the enquiry, any agreed work and applicable record-keeping obligations. You can ask D&M about access, correction, deletion, restriction or objection to processing. Rights depend on the circumstances and legal requirements. You can also raise a concern with the Information Commissioner’s Office at ico.org.uk.
Addresses, journey planning and reviews
If you use Find address, the search text you enter is sent to Google Maps to suggest addresses. You can instead enter the address manually. Authorised staff may send job locations to Google Maps to estimate travel time. Google processes this information under its Privacy Policy; see our Maps service terms.
Customer reviews are displayed from a collection supplied by D&M, rather than fetched from Google when you visit. Links to Google open its own service.
Cookies and external links
Your cookie choice is stored on this device for up to 180 days. Optional Google Analytics and Google Ads measurement is prepared for the public website but is disabled on this private preview. Private preview access may use hosting-platform authentication cookies. Links to review websites and other third-party services open those providers’ pages and their privacy policies apply there.
On the public site, Analytics will measure page visits and interactions only if you allow analytics. Advertising measurement will connect ad visits to enquiries and calls only if you allow it. Google may use a forwarding number to measure eligible calls; the call still reaches D&M. We do not send enquiry names, email addresses, phone numbers, job addresses, uploaded files or free-text answers in our measurement events. A submission reference is used to help prevent duplicate Ads conversions. Personalised advertising is not enabled.
You can reject optional measurement and still use the site and enquiry form. Use Cookie settings in the footer to change your choice. Previously transmitted data is not recalled when consent is withdrawn. Google processes measurement data under its privacy policy.
